Managing Matched and Unmatched Receipts in the Receipt Inbox

The Receipt Inbox is your central hub for managing all your receipts in Relay. Whether someone forwarded an email, snapped a quick photo, or responded to a reminder — it all lands here. It’s designed to help you stay organized and easily match receipts to the right transactions.

This article explains how the Receipt Inbox works, how to match receipts manually, and what to do with unmatched or incorrect documentation.


What Is the Receipt Inbox?

The Receipt Inbox is where Relay collects:

  • Receipts forwarded via email
  • Uploads from cardholder SMS links
  • Matched and Unmatched receipts

Where to Find the Receipt Inbox

  1. Go to the Expenses tab
  2. Click on the Receipts section
  3. Select Receipt Inbox from the left-hand menu

Receipt Inbox will have two tabs:

  • Matched Receipts: Documents already linked to a transaction
  • Unmatched Receipts: Documents that need manual review

How does Relay Match Transactions

Relay attempts to match receipts to transactions based on:

  • Merchant name
  • Amount
  • Date

If it finds a match, the receipt is automatically attached to the transaction. If not, it stays in the Not matched inbox for review.

How to Manually Match a Receipt

  1. Go to Expenses 
  2. Under the transactions, under the receipt column, click on the plus (+)
  3. Select one of the options: 
    1. Search Receipt Inbox
    2. Upload a Receipt

Alternatively you can:

  1. Click on the Receipt Inbox
  2. In the Unmatched Receipts tab, click on a receipt to open it
  3. Use the search or filter tools to find the correct transaction
  4. Select the transaction and click Match

Once matched, the receipt is removed from the Inbox and added to the transaction record.

Need to split the transaction? Match the receipt to one of the split transactions and add a memo if needed.

What If a Receipt Was Uploaded by Mistake?

If a document doesn’t belong to any transaction, you can archive it:

  • In the Not Matched Receipts tab, select the receipt
  • Click Delete Receipt to remove it from your queue

Best Practices

  • Check the Inbox weekly to keep documentation up to date.
  • Use filters (by amount, date, or cardholder) to narrow down matching options quickly.
  • Confirm with cardholders if a receipt looks unclear or mismatched.
  • Don’t delete unmatched receipts unless you're certain.

Frequently Asked Questions

Can I match one receipt to multiple transactions?

Not at this time. If you have a single document for multiple purchases, add a memo or upload a copy to each transaction individually.

What happens to unmatched receipts after a sync?

Unmatched receipts stay in the Inbox until manually matched or deleted — they are not synced to accounting platforms unless linked to a transaction.

Can I manually add an expense?

Not at this time. However, as long as you have an invoice/receipt document you can use our Forward by Email feature to match it to the associated transaction. That way, it’ll show up in your Expenses tab.
