If you have been collecting W-9s throughout the year and would like to make tax season easier, Relay allows you to run a W-9 report to help you fill out your 1099. To download your W-9 report, please follow the instructions below on your desktop. This feature is not currently supported on the Relay mobile app.
Please note: contractors can download a fillable W-9 form from the IRS website linked here.
How to download a W-9 report as a business owner
- Sign in to your Relay account on your desktop.
- Navigate to the Payments tab, then select Payees from the dropdown menu.
- Click Run W-9 Report at the top-right corner of your screen.
- Click Confirm.
- Your W-9 report will download as a zip file and will contain all the W-9 information you have collected over the last year.
How to download your clients' W-9 reports as an accountant or bookkeeper
- Sign in to your Relay account on your desktop.
- If you want to run W-9 reports for all of your clients, click Run W-9 Report at the top-right corner of your Partner Portal dashboard. Once initiated, click Confirm and a zip file will be downloaded onto your computer. This file will contain multiple .CSV files for your clients.
- If you want to download W-9 reports for just one of your clients, locate that particular client in your dashboard, then click on the three vertical dots beside their business name. Click Run W-9 Report, then Confirm.
Please note: if you have collected a W-9 from a payee in the last couple of days, you may have to wait 2-3 business days for the extracted data to appear in your W-9 report. You can see when the W-9 data was last updated at the time of running the report.
What information is included in W-9s?
Relay will extract the following data from W-9s:
- Payee name
- Federal ID type (EIN, SSN, ITIN, AITN)
- Address
- Email address
- Sum of payments made through Relay to a payee within the selected tax year
- Entity type
- Exempt payee code
- Exemption from FATCA reporting
Where do I upload my W-9 report?
Key W-9 data will be extracted out of PDFs and available to download into a .CSV file. From there, you can upload the .CSV file into 1099, Xero, and QuickBooks Online so that 1099 forms can be populated for all contractor payees at once, saving you tons of time.
In addition to the .CSV file, you can download a zip file which includes all source W-9 PDF files for easy attachment to file to QuickBooks Online or Xero vendor records.
Permission levels
Only business owners with Administrator permissions or advisors with Administrator or Super Administrator permissions can run a W-9 report.
